HOW REMI WORKS

Remi is the AI on VERTX. This page explains, in plain terms, what Remi does with personal data when it matches people to roles, what it never does, and how to question a result. It adds detail to section 6 of our Privacy Policy, which remains the full statement of how we use personal data.

1What Remi is

Remi helps companies describe a role, matches candidates to it, and explains why. Remi does not decide who is interviewed, offered work or hired. Companies make those decisions.

VERTX TALENT LTD (Company No. 16902446, registered in England and Wales, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ; ICO registration ZC111335) is the controller for Remi. We decide how it works, and one Remi serves every company. When a company receives a candidate's profile, that company becomes a separate controller of what it receives.

2What data Remi uses

  • From candidates: the profile and CV they give us, their job preferences and, for engineers on our contracting service, the record of our assessment.
  • From companies: the role and the criteria they set, and anything they tell Remi to correct or remember.

Remi does not use health, disability, ethnicity, religion, sex, age or any other protected characteristic, and never tries to infer them. It never sees what anyone is paid. It does not look at photos or videos to judge anyone.

3How a match is decided

  1. The company sets criteria about the work, each marked must-have, strong preference or nice-to-have. Criteria based on protected characteristics are refused.
  2. For each criterion, Remi grades the evidence: met, partly met, evidence against, or not evidenced. Each grade must quote the candidate's own CV, profile or assessment word for word, and our software checks that the quote is really there. No quote, no "met".
  3. Our software, not the AI, then sorts the results using fixed rules. A strong match has every must-have met and most strong preferences met. A near match is shown with what is missing. Where the evidence is against a must-have, the person is not shown for that role. Nice-to-haves never decide whether someone is shown.
  4. Remi shows the company its strongest matches, normally two or three. Saved searches are matched again when new people join.

4Where a person is involved

Who is put forward to a company for a role is decided without a person looking at each case, on both our services. We treat that as a decision based solely on automated processing that can significantly affect you, so you have the safeguards in section 8.

  • A company can tell Remi that a grade is wrong. The grade is changed, and the change is recorded.
  • A member of our team reviews any result that a person asks us to review, and can change the grades and put the person forward.
  • A failed identity or right to work check never stops someone being put forward without a member of our team reviewing it first.
  • On our contracting service, every assessment decision, including a decision not to take an application further, is made by a person.

5Testing for bias

We have a test that sends the same CV, word for word, through our scoring and ranking under different names and countries, several times each, and checks that the results follow the work, not the name. We run it when we change how Remi judges people. It does not yet cover the step that grades each criterion; extending it there is planned.

6Lawful basis and risk assessment

We rely on legitimate interests, and on contract where you have asked us to find you work or candidates, with the safeguards on this page. Remi's matching and grading are covered by our data protection impact assessment. The details are in section 6 of our Privacy Policy.

7Minimisation and retention

Companies see only what they need. They never see a candidate's private minimum salary, the companies or industries the candidate has hidden, their documents, their nationality or their immigration status. A company's corrections about a candidate are deleted six months after the role closes. Unsuccessful contracting-service applications are deleted six months after the decision. The full periods are in section 12 of our Privacy Policy.

Remi runs on a third-party AI model provider, under a written agreement, and the provider does not use the data we send to train its models. Our Service providers page names it.

8Asking questions and contesting a result

You can:

  • ask whether you were put forward for a role, and the main reasons for the result: which of the company's criteria the evidence met, partly met or did not meet;
  • give your view, and add evidence to your profile;
  • ask for a person on our team to review the result. They can change the grades and put you forward;
  • contest the result.

Write to privacy@vertxtalent.io, or use Support in your dashboard. We acknowledge your request within two working days and a person decides it within ten working days. We record every request and its outcome.

You can also complain to the Information Commissioner's Office, the United Kingdom's data protection regulator, at ico.org.uk or by telephone on 0303 123 1113.
